BEFORE THE INTERVIEW

What kind of of interviews can be recorded?

The automated recording is currently supported for video interviews hosted by Google Hangout, MS Teams & Zoom. Additional video interview providers and the possibility to record phone interviews are being added over time - please request a Pendo request to your solution prioritized.

How do I enable the automated recording for an interview?

There is two easy ways to enable the recording for any of the interviews that you manage - for yourself or the hiring team. When scheduling a call via the "AI Scheduling" solution in CRM, you'll find an option to toggle on "Interview Intelligence" right below the selection of your meeting type.

In addition, you can simply add the email address assistant@phenom.com as a participant to your meeting invite and the recording will be enabled.

How can I see if an upcoming interview has the automated recording enabled?

The information whether the recording is enabled is visible across the CRM. You can navigate to the "My Interviews" section in the dashboard, the "Interview" tab within the candidate profile or the "Interview Intelligence" tab within the job you are hiring for. In addition, you will be reminded via email before the meeting that the recording is enabled.

Can I enable or disable Interview Intelligence for an interview after it's scheduled?

Indeed, you have the flexibility to do so. To enable or disable recordings, you can follow one of two methods. First, within the "My Interviews" section in the CRM dashboard, click on the three dots located on the right. This will open a box where you can toggle recording on or off, even after the interview has been scheduled. Alternatively, you can access the "Interview Intelligence" tab within the specific job, navigate to "upcoming interviews," and disable the recording from there.

Are candidates informed and need to provide consent to be recorded?

Yes, every candidate is informed about the upcoming recording and has the option to opt-out of the recording. In case this happens, the interviewer will be informed about this upfront to ensure you take manual notes.

What are the benefits for the candidate?

Having conversations recorded will ensure that the interviewer can fully focus on the conversation with the candidate. In addition, it helps to reduce the time to receive feedback regarding the next steps and less interview rounds are required. The candidates are also informed about those benefits upfront.

If I schedule a call for the hiring team, do I need to inform the interviewer about the recording?

This is not required. Every interviewer will be automatically informed about the upcoming recording of the interview via email and wihtin the meeting notes. They also get additional learning material that explains them the benefits and how the recording will take place.

DURING THE INTERVIEW

Do I still need to take notes during my interview?

Not necessarily, as the entire conversation can easily be replayed and you gain AI generated summaries, interview questions, and highlights.

However, you can use the "Interview Assistant" to save your additional comments and moments during the interview that are then directly referenced in the interview playback. The "Interview Assistant" can be accessed for any video interview and also provide direct access to relevant interview questions or the candidate profile.

What happens if the candidate changed its mind and no longer wants to be recorded?

No problem, you can simply stop the recording. In case a "Recording Assistant" joined as a separate participant, just remove it from the meeting. Any data that is already captured will then directly be deleted.

What happens if I stop the recording by mistake, can I turn it back on?

This is currently not possible, but a functionality that is going to be released in the near future.

AFTER THE INTERVIEW

How long does it take for interviews to be processed and accessible for review?

The processing might take 15-30 minutes, depending on the actual length of the interview recording. All attendees will be informed via email once the recording is available.

The interview was recorded but I cannot find it within the CRM, what can I do?

Please navigate to the "Interview Intelligence" tab within the job or the "Interviews" tab within the candidate profile. In most cases, the interview is listed there.

If not, the interview might not be correctly assigned yet. Navigate to your personal CRM dashboard, where you find a section called "Assign recorded interviews", which includes all interviews you attended that are not correctly assigned to a candidate or job. Simply follow the prompts to complete the assignment.

Can I share the recordings with other team members?

You have the flexibility to share the interview recordings with your fellow team members, including recruiters, hiring managers and other interviewers. This enables seamless collaboration and enhances the decision-making process.

Navigate to the interview playback where you will find the forward action in the top-right corner. Note that you always share the entire interview, not only certain pieces of it.

Can I easily edit or delete recordings?

Editing of the recording is not possible. Deletion can be done if you have the required permissions to do so.

Can I upload existing recordings to interview intelligence?

This is not yet possible. However, this option will be implemented very soon.

GDPR & DATA PRIVACY

What if the candidate request’s an interview? Do we need to share it?

If the candidate requests a copy, there is an obligation under the GDPR to provide the copy. In this case, please create a support ticket and Phenom will provide a copy and/or link that can be shared with the candidate. Note that this request is highly unlikely to happen.

What if the candidate wants the recording to be deleted?

Under the GPDR, individuals have the right to request the deletion of any personal data. The interview recording can easily be deleted within the CRM by accessing the recording itself. There might be an exception and need to keep the recording in certain instances, such as having a lawful reason to fulfill a legal obligation or defense of legal claims.
